Occupational Health Administrator (REF 1601)

Working hours - Part time - 20 hours, this will be spread over 5 days

Location - London, Canary Wharf 

Salary - £24,000.00 - Pro Rata

Job Summary

Occupational Health Assistant to join our multidisciplinary busy team at our corporate clients premises in Canary Wharf, London. The role is to provide administrative support to a team of 4 OH advisers, 1 OH physician and a manager.

Key Responsibilities

  • Recording and carrying out base level medical reviews for New Starters
  • New starter inductions and training
  • IT on boarding for new starters
  • Case management allocation in keeping with company KPI’s and SLA’s
  • Supporting the consultation process
  • Completing OH report formatting, saving, encrypting and distribution in line with KPI’s
  • Liaising with HR and Employee Services on a daily basis
  • DBS checks and maintaining training logs
  • Managing system updates and developments
  • Note taking and the production of meeting minutes
  • Request and follow up outstanding GP/Specialist reports
  • Facilitating cost effective travel and accommodation bookings for multiple Occupational Health advisors
  • Training administrators in line with standard operating procedures
  • Stationary acquisition using the P2P system
  • Weekly staff rota collaboration and distribution
  • Daily diary and database management
  • Risk Management for confidential disclosures
  • Data inputting in accordance to company requirements
  • Assist in the production of key statistics and quarterly reports
  • Management of confidential documentation on a daily basis
  • System archiving, filing and photocopying
  • Communicating with patients, employees and management both written and verbally
  • Supporting the Health Centre Manager and Occupational health Manager with day to day tasks
  • First point of contact for Occupational Health enquires via telephone and email

Specific Skills

  • Experience in a medical setting would be ideal but not essential
  • Excellent interpersonal and communication skills (written and verbal)
  • Comprehensive IT Skills
  • Desirable medical secretary/ secretarial qualification and or experience
